01. Project Overview

Building One E-Invoicing Process

A multinational manufacturer used SAP Ariba to process invoices from more than 2,400 suppliers across 12 legal entities and eight European countries.

Webvillee connected SAP Ariba with SAP Document and Reporting Compliance to validate invoices, submit them to the right platform, return their status to Ariba, and store the required records.

Client pain points:

  • Each country followed a separate invoice process.
  • Government-portal submissions required manual work.
  • Invoice rejections slowed processing.
  • Status checking and audit preparation took too long.

02. The Challenge

Eight Countries, Different Invoice Requirements

Finance teams completed many tasks outside SAP Ariba. They prepared files, submitted invoices to country portals, checked responses, and updated statuses manually.
  • Only 35% of invoices were processed automatically.
  • 14% were rejected during their first submission.
  • Audit records could take up to two days to retrieve.

03. Process

How Webvillee Built One Connected Invoice Flow

1. Mapped each country’s requirements

Webvillee reviewed the invoice formats, portals, reporting rules, and storage needs across all eight countries. This created one plan while keeping each country’s requirements in place.

2.Connected Ariba with SAP DRC

Webvillee built a common flow through SAP Ariba, SAP Integration Suite, SAP DRC, government portals, and PEPPOL. Accepted, rejected, and pending updates were returned to Ariba automatically.

3.Configured, tested, and launched the process

Invoice fields were mapped to formats such as FatturaPA, Factur-X, KSeF, XRechnung, Facturae, and PEPPOL BIS 3.0. Webvillee tested common invoice and rejection cases before launching the countries in phases.
